Who is the data controller?

What information do we process?
When you use the rental estimator, submit the form or contact us, we may process the property address, information about its size and capacity, preferred rental dates, ownership status, your rental plans, your name, phone number, email, postcode, and anything you provide in the comment field or later correspondence. If you have granted analytics or marketing consent, we may also attach non-personal campaign information such as source, campaign, ad or video, landing page and referring domain to your submitted enquiry. You may voluntarily tell us how you first heard about us.
Why do we use the information?
We use the information to retrieve relevant market data, show and send your rental estimate, follow up on your request, manage an optional call booking, measure which campaigns create genuine enquiries and document relevant correspondence. If you do not book a call, we may send one reminder the following day about the estimate and the option of a non-binding call. We do not treat the form as consent to newsletters or ongoing electronic marketing.
Legal basis
Information needed to provide the estimate and follow-up you explicitly request is processed on the basis of your acceptance in the form and to take steps at your request before a potential agreement. Campaign attribution is only stored with the enquiry when you have granted the relevant cookie consent. Necessary security, troubleshooting and documentation may be based on Nordic Hosts’ legitimate interest in operating a secure website and handling enquiries. You can change your cookie choice or contact us at any time.
Who may receive the information?
When you use the rental estimator, the property address and selected property details are sent to a market-data provider to retrieve the estimate. When you enter contact details to view the estimate, your information, the internal calculation basis and any consent-based campaign information are transferred to our HubSpot CRM. Information may also be processed by our hosting and email provider and other technical providers where necessary to operate the website or answer the enquiry. We do not sell your information.
How long do we keep it?
Identical market lookups may be stored in a private technical cache to avoid unnecessary repeat API calls. When you choose to view the estimate, the enquiry is securely stored on the server and in HubSpot so the estimate can be sent, an optional booking can be linked to the same lead and the agreed follow-up can be completed. The information is then kept only for as long as needed for follow-up, documentation or possible legal claims.
Your rights
Subject to the applicable rules, you may request access, correction, deletion, restriction and data portability, and object to processing based on legitimate interests. The rights depend on the specific processing and may be limited by legal obligations. Contact us by email and we will handle your request.
Complaints
You may complain to the Danish Data Protection Agency. We recommend contacting Nordic Hosts first so that we have an opportunity to investigate and resolve the issue.
